About Boston Pelvic Physical Therapy
We’re a specialty pelvic health clinic that provides compassionate, individualized care through hour-long 1:1 sessions. We work with people navigating postpartum recovery, pelvic pain, bladder and bowel issues, gender-affirming care, cancer recovery, and more. As a cash-pay clinic, we’re built around thoughtful communication, unrushed sessions, and high-quality care. We’re a small, tight-knit team that believes in professionalism, warmth, and doing meaningful work.
About the Role
This role blends front-desk responsibilities with hands-on clinic support—ideal for someone who understands how much the little things matter and isn’t afraid to roll up their sleeves. From managing the schedule and answering patient questions to restocking supplies and organizing rooms, your work helps create a smooth, welcoming experience for everyone who walks through our door. You'll often be the first voice patients hear or face they see, so we need someone warm, organized, and reassuring. If you love helping people feel at ease and take pride in maintaining a calm, well-run space, this could be a great fit.

A calm, kind presence who helps patients feel welcome from the moment they arrive
A clear communicator who can navigate sensitive topics with professionalism and warmth
Someone who enjoys organizing and maintaining a clean and cozy space
Comfortable switching between tasks—answering phones, unpacking boxes, and swiffering floors
Physically able to lift packages and break down boxes, as needed
Familiarity with Google Workspace (Gmail, Docs, etc.); experience with Jane scheduling system or similar systems is a plus
Bonus: experience in a receptionist/admin role or healthcare setting (but we’re happy to train the right person)
Core Responsibilities
Patient Communication & Admin
Greet and check in patients with warmth and professionalism
Respond to patient messages (email, Spruce, text) clearly and promptly
Manage the Jane schedule: coordinate cancellations, waitlists, and fill open slots
Answer general questions about care, pricing, and clinic policies
Support clinicians by following up with patients as needed
Submit bi-weekly payroll and pull basic reports (training provided)
Help with occasional marketing and admin projects
Clinic Upkeep & Maintenance
Swiffer floors, wipe down surfaces, and keep rooms tidy between patients
Unpack deliveries, break down boxes, and restock treatment rooms daily
Take out the trash and keep common areas clutter-free
Water plants and ensure that the sound system is on and working
Keep the exercise area clean and organized
Keep track of supplies and help manage supply list as needed
